How to Find the Right Venue: Part 1

Here are things to consider when you are looking for a venue for your rehearsal dinner, ceremony and/or reception.

You’ve got the ring, maybe the date, certainly the city or locale, now what? Ask yourself these questions and your answers will determine the venue.

What is more important:  Wedding Date or Venue? If it’s the wedding date, then your venues may be limited.  However, if you have no particular date in mind and can be flexible, then you can get the venue you want.

How do you want to use this venue:  Ceremony, Reception, or Both?  Are you planning a church wedding and the venue is strictly for the reception?  Or, are you looking for one place where you can have both the ceremony and the reception.  Maybe you’re looking for a place to have the rehearsal dinner.  The use of the venue will determine size and location and make the process easier.  Also, some venues have exclusive or preferred caterers.  If you have a specific catering company in mind and it’s not allowed in that facility, you need to look elsewhere.  Some venues may have other preferred vendors like florists, lighting, audio, to name a few.  Finally, some venues require you buy alcohol directly from them.  All this:  venue, food, alcohol, rentals, flowers, décor, linens, and lighting figure into the final price.  Find out all this up front!

What is your dream wedding?  This is a time to share your dreams with your wedding professionals.  What have you always envisioned?  Do you have a particular place or time of day?  Do you have someone in mind to officiate?  For your reception, what do you see?  Are you in a grand ballroom in an elegant hotel or are you in a barn with a ritzy rustic look?  What is your vision?  After all, this is YOUR wedding!

How big is your guest list?  Besides the date, this is a huge part in choosing your venue.  How many people can the venue accommodate?  They all have their numbers.  Your family and the groom’s family need to come up with how many people you’re inviting to the wedding and to the reception.  Ask the venue how many people they can accommodate.

Can my guests climb this mountain?  A bride wanted to have her wedding on top of a mountain at sunset.  Unfortunately, her grandparents were not in physical condition to climb the mountain to see her get married.  For the women dressed in cocktail and formal attire and wearing heels, the climb was a little steep.  Be considerate of your guests in choosing the venue.

How are you going to get guests from point A to point B to point C?  Are the ceremony and reception venues close to each other?  Are the venues near the hotel where the guests are staying?  You want this to be quick and easy for your guests.  If there are a large number of out-of-town guests, are you going to provide transportation to get them to all these locations?  Some hotels do offer shuttles for your guests.  In booking accommodations, ask the hotel if they provide this service.
